Software Guide for beginners: Part 2

Word Processing Software:

woman with mouseWord Processing software works with text documents although it is also possible to add images, to enhance documents. However, these kind of programs work well with text and there are all sorts of things a Word Processing program can do, such as adding headers and footers, should you be writing a book. Count the words and pages for your college essays of 1000 words for example. They can create mail merges whereby you do not need to prepare a document for each person; you can add the contact details and then merge these to one document. There are far too many functions that these editors can create; most people start their IT development learning what a Word Processor does. Popular Word Processors are: Word for Windows and Works.

Spreadsheet Software:

Spreadsheet software works with figures, there are many calculations you can perform on Spreadsheet software. You can create a budget. Work out the mortgage repayments over a year and the interest on that. Create invoices with VAT percents and much more. Popular programs are Excel and Lotus 123; however there are many more software programs for spreadsheets. Some people use Excel for database use too.

Database software:

Database software stores information in an orderly manner, such as a filing system, you can create queries that sort out the information for you in a certain way, for example say you wanted all the members that joined in the year 2007, you can add a query to gain this information from the database. There are many more involved functions and queries that you can develop should you need to. If you have Microsoft Office along with your PC you could use the Access Program to create a contacts database, keeping all your contacts ordered should you need them. Popular database programs are: Access and My SQL for the web.

Desktop Publishing Software:

This software is designed to create leaflets, brochures and calendars and a host of other documents. You can get very creative using this type of software. Popular Desktop Publishing Programs are: Publisher and Pageman giving presentation Plus.

Presentation Software:

 Have you ever been at a meeting whereby the presenter shows a projector onto screen bullet points of important information? These shows are called ‘Presentations’, presenters use these shows to show in a clear and vivid way the points they are trying to explain.

I know someone who developed his CV skills on one, for impact, and he got the job. Basically, whenever you need to present something, these programs are usually used. Popular Software includes PowerPoint by Windows.

image of mini tipicon For software that you use a lot of, such as Office, instead of going to the programs list each time, right click on the program item.

Click on send to desktop (create shortcut) on Vista, or similar for other OS, you will then be able to access your Office software from the desktop.


image of mini tipicon When printing out on your PC if you don't need colour, remember to print in black and white mode.

You can find this option in your printer properties box, click on file/print and find the properties tab also you can print in draft quality.


image of mini tipicon Are you fed up when Windows asks you if you are sure you want to remove the contents of the recycle box? If so, you can disable this notice.

Right click on the recycle bin and choose properties, remove the tick from Display delete confirmation. Take care though with this feature removed you will not be able to regain your files once deleted.
